2. Information We Collect
We collect information you provide when signing up for our services, including your name, business name, email address, phone number, and billing information. We also collect call records, usage data, and technical information necessary to deliver and support your phone service. We do not sell your personal information to third parties.
3. How We Use Your Information
We use your information to provide and manage your VoIP service, process payments, send service notifications, respond to support requests, and comply with Canadian regulatory requirements including CRTC obligations. We may use aggregated, anonymized data to improve our services.
4. Data Storage and Security
We store your account and support information with Canadian-hosted providers where we can. Some of our service providers, including our payment processor and parts of our phone platform, store or process personal information outside Quebec and Canada, including in the United States. Information held outside Canada may be subject to the laws of those places. We use industry-standard encryption and security practices to protect your information. Access to your personal data is restricted to authorized personnel who need it to deliver our services.
5. Call Records and CASL Compliance
As a Canadian telecom provider registered with the CRTC (Confirmation #201290), we retain call records as required by Canadian telecommunications law. We comply with Canada’s Anti-Spam Legislation (CASL) for all communications. You may unsubscribe from marketing communications at any time.
6. Your Rights
Under PIPEDA (Personal Information Protection and Electronic Documents Act), you have the right to access, correct, or request deletion of your personal information. To exercise these rights, contact our privacy officer at privacy@9dash9.com. We will respond within 30 days.
If you live in Quebec, we also handle your information under Quebec’s Act respecting the protection of personal information in the private sector (Law 25). You can withdraw your consent at any time, subject to legal or contractual limits, by writing to privacy@9dash9.com. If you’re not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information.
7. Cookies
Our website uses essential cookies to function properly. With your permission, we also use analytics cookies from Zoho PageSense, a Zoho service, to understand how visitors use the site: pages viewed, clicks and scrolling, and where visitors drop off on our forms. We do not use advertising cookies, and we do not sell or share this information.
Analytics cookies are only set after you click Accept on the cookie banner. If you click Decline, they are not set. To change your choice, clear the cookies for 9dash9.com in your browser and the banner will appear again on your next visit. You can also block cookies in your browser settings, though this may affect some features.
8. Third-Party Services
We use select third-party services to operate our business, including Stripe for payment processing and Zoho for CRM and support. These providers have their own privacy policies and are bound by data processing agreements with us.
9. LineMinder Calls
When you call a business that uses 9dash9 LineMinder, a virtual assistant answers on that business’s behalf. The call is recorded and transcribed so your message, contact details and request can be passed to the business, and so the business can see a summary of its calls, including an estimate of the value of the work requested. 9dash9 processes this information for the business and for no other purpose. Recordings and transcripts may be processed and stored in the United States by our service providers, where they may be accessible to authorities under US law, and are deleted after no more than 6 months. To ask about or access a recording, contact the business you called or privacy@9dash9.com.
10. Text messages and demos
If you agree to receive a LineMinder demo, we text you a demo phone number and may email you a sample report. The demo number answers as your business so you can hear how LineMinder works; calls to it are recorded like any LineMinder call. We send these texts only with your consent. Reply STOP to any text from 9dash9 to stop receiving them. Demo numbers are deactivated after the demo period, and demo recordings are deleted on the same schedule as other LineMinder calls.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on our website. Continued use of our services after changes constitutes acceptance of the updated policy.
